SpreadSheet to PDF
Spreadsheets need to become PDFs constantly — for invoices, financial reports, data exports to stakeholders who do not have Excel, or documents that need to be locked against editing. The challenge is that conversion can mangle layouts: columns overflow the page, row heights collapse, or multi-sheet workbooks only export one tab.
This tool converts spreadsheet files to PDF with table structure preserved.
How to Convert a Spreadsheet to PDF
- Upload your spreadsheet file (.xlsx, .xls, .csv, or .ods). The tool reads the data and formats it as a table in the PDF output.
- Check the preview to confirm columns are aligned and no data is being cut off at the page edges.
- Click Convert. Wide spreadsheets automatically use landscape orientation.
- Download the PDF.
Spreadsheet Formats: What Converts Best
| Format | Conversion quality | Formatting preserved | Notes |
|---|---|---|---|
| CSV | Excellent | Plain table only | No colors, bold, or merged cells |
| XLSX (Excel) | Good | Basic formatting | Cell colors and bold usually preserved |
| XLS (older Excel) | Good | Basic formatting | Complex macros and charts may not render |
| ODS (LibreOffice) | Good | Basic formatting | LibreOffice-specific features may vary |
| Google Sheets | Best via native export | Full formatting | Use File > Download > PDF in Google Sheets |
Things to Know
- Charts embedded in Excel files may not render in PDF output. Export charts as separate images if they are critical.
- Very wide spreadsheets (20+ columns) often produce better results in landscape orientation.
- Merged cells in Excel can cause alignment issues. Unmerge cells in the source file before converting if the layout looks wrong.
- Google Sheets users get the best PDF output by using File > Download > PDF directly — it uses Google’s native renderer.
Common Questions
Upload your .xlsx, .xls, .csv, or .ods file and click Convert. For Google Sheets, use File > Download > PDF directly for the most accurate output.
Your spreadsheet is wider than the PDF page width. Try landscape orientation, or reduce the number of columns by hiding non-essential ones before converting.
No — the PDF shows calculated values, not formulas. PDF is a presentation format, so only the displayed output is captured.
The tool converts the first sheet. For multi-sheet workbooks, export each sheet separately and use Merge PDF to combine them.
